B) Standard Activity Night at the High School

Check with the main office at the middle school about building use forms.   
In general, all activity nights are requested and approved by the school in the fall, so no additional
form needs to be filled out, but reconfirm with the middle school office the activity night is on the
schedule and that the school will be arranging for lifeguards (at least 3).  

About 5 teachers help chaperone.  
Custodians at the high school should have ping-pong tables, basketballs, and soccer nets set up.

Be sure to get the cash box from the PTSO Treasurer.

Chaperones & Volunteers.
 It is best to have about 10-15 parent volunteers, or a ratio of 1
parent to every 10 students.  Note: 7th/8th Grade Activity Night should have some dad volunteers.

Supplies to bring.  Cash box from PTSO treasurer. Small paper plates, napkins, drink cups,
spatula for pizza, latex food gloves (sometimes available in the kitchen), board games (PTSO owns
some which are stored in a bin in the elementary school PTSO Room), ping-pong paddles and balls
(PTSO owns a set), paper and pens for sign-in table.

Cafeteria Setup should allow for enough clearance between tables to the emergency exit so it is
still accessible.

Snacks.  Hopefully snacks are donated by parents (as mentioned on the flier sent home with
students).  Individual prepackaged snacks such as granola bars, fruit roll-ups, cookies, chips, etc.  
The PTSO also has a popcorn machine.  Unpackaged snacks should be served with plastic gloves
on; these are stored with the Activity Night supplies with extras in the PTSO Room supplies.

Pizza is ordered by a middle school teacher (Brenda Meade has done this in the past - check with
middle school PTSO teacher rep) and is delivered at 7:00 to the high school.  Arrange with the
PTSO treasurer to have a check ready (or pay and get reimbursed).

Pizza sells for 50 cents; drinks for 50 cents; snacks for 25 cents.  This is up to your discretion.  Have
a price sheet printed up for the table.  Keep left over snacks for the next activity night.  If it seems
like there will be lots of left over pizza, games (free-throw shots, trival persuit type questions, etc.)
can be played to "win" a free slice.

Sign-In.  Teachers or volunteers should be at the tables near the doors at 6:30 p.m. (to contain
early arriving students).  Sign-in tables should be placed near the front doors and staggered (so
they’re not a fire hazard).  Separate tables for each grade to sign in at, followed by swim sign-up
table (for swimming either 7:00-8:00 p.m. or 8:00-9:00 p.m. helps keep the size of the groups fairly
equal - kids do not have to stuck to the schedule if there is room in the pool) and then “holding
area” up to safety cones at the end of the main hall just before the cafeteria doors to corral the
students after the sign-in tables before entering Activity Night.  (Brenda Meade will look into
providing them).  
-Teachers should have a school-provided class roster with names and phone numbers that can be
highlighted as the students arrive with teachers manning the sign-in tables if possible.  Teachers will
be the only ones who know which students are on the “restricted list” and are not allowed to attend
Activity Night.
    (After Activity Night begins, safety cones can be moved to be accessible when Pick-up begins.)

Chaperones.  One chaperone should be at each sign-in table (if a teacher is not abailable) and 2-
4 at the snack table.  It helps to have one in the gym and someone to occasionally check in with the
lifeguards.  If ice is needed for an injury, there is an ice pack in the small frige in the swim office.

Instruct students to exit the pool at 8:45-8:50 p.m.

Announce to the kids at 8:55 p.m. that it's time to get their stuff ready to go.  Remind everyone
over
and over
to check to see if they have coats, swim suits, towels, etc.  Anything left should be taken to
the Middle School lost and found.  (Lots of stuff in the locker rooms is left from the high school
students, so don't worry about that stuff.)

At 8:55 chaperones and teachers begin moving students to the outside.
At 9:00 chaperones should finish sweeping students outside and should leave.
    (Chaperones cleaning up inside should have their children
behind the concession stand
     area so that teachers know that they don't need to be moved to the pickup area.)

Teachers inside (2) will continue to move straggler students outside.
Teachers outside (3) will set up safety-cones on the sides with “roadblock teachers” to corral
students in front of the high school such that the students are funneled down to where the
“distribution teacher” will see that students are matched with cars.


Pick-up.  At 9:00 a.m. all students should be moved outside for curbside pickup.
Activity Night Fliers should say:
PARENTS:  NEW faster, safer, streamlined pick-up procedure!
Parents are asked to assist us with our new drive-thru-pick-up procedure by driving up through the
high school circle to pick up students curbside (remember to pull close to the curb).  Under our new
procedures all students will be outside at 9:00 p.m. and funneled down to the teacher in charge of
seeing students into the cars at the center of the pick-up circle.
(Parents who want to walk up to pick up their child should park in the side lot between the middle
school and high school and then check in with one of the teachers on the sidewalk.  Please use the
side lot for parking, do not park in the high school pick-up circle.)
We appreciate your cooperation as we work to implement, and adjust as necessary, this new faster
and safer pick-up procedure.
Remember, drop-off begins no earlier than 6:45 p.m.  Also, only 5th/6th grade Lansing school
district students are allowed.
~Parents: please discuss your pick up plan of who, when, where & how with your child.~

After.  Check all areas to make sure all kids are gone.  An adult needs to stay until all kids have
been picked up.

This event can be altered anyway you wish.  We have done raffles, rented moonjumps, played word
games, had crafts, etc.  Be creative!

Check with the main office at the middle school to make sure they know that the activity night
will be at The Rink/ The Field and not the high school, since they make arrangements for lifeguards
at the high school and none will be needed.  If the original was scheduled at the high school: 1)
write a note to the middle school to "cancel" the building request; 2) contact the district office the
Friday before the event so the sign in front of the school will be correct.

About 5 teachers help chaperone.

Announce that students should leave the ice at 8:45 p.m.

Safety-cones, and/or an adult with reflective vest, will be placed, with the Rinks permission, in the
parking area to direct cars down into the parking lot so as to make a large pickup line down and
around in the lot to the front pick-up circle area.)
