Roller Skating Coordinator Details

In October confirm reservation with Reva Rollerdrom (phone) (date and time was reserved the
previous year)
.  We have been getting about 70-100 people signed up for the event.  

In November, make the skating form using the past year's form available on the website's
"Coordinator Details" page at the  "Downloadable Docs" button, so it can be updated (remember to
send a copy of the new version to the webmaster) with the correct date and time and emailed to the
district office by the mid-November district bulletin deadline for the Dec./Jan. district bulletin.

In mid-December or early-January,

In December, fill out an "Application to the office for special transportation"
  (a copy is enclosed in the Skating Binder for guidance).

Usually have the bus riders board the bus starting at 9 a.m. and have the bus pull out of the parking
lot at 9:15 a.m.   Have the bus riders board the bus for the return trip shortly after skating at noon,
usually around 12:20 p.m.

In Late December or early January, get a check from the Treasurer (or President) to pay Reva
Rollerdrome.  Payment is expected at the event after everyone has arrived.  

In January (or late December), make copies of the flyers and put in elementary school backpacks.
Copies can be made at the elementary school office using the Rizo (high volume copier); ask the
secretary how many are needed (and for help with coping if you are unfamiliar with the copier).

flyers and paper clip into classroom batches
for the secretary to put in teacher boxes.  Flyers should
be ready for teacher boxes 2 weeks before the due date
(or 3 weeks before the event).  Also, make
copies for the middle school office
and write an "Announcement" to be read for the first few days the
forms are available and the last few days before the forms are due.

Check elementary and middle school mailboxes for returned reservation forms with payment.

Make a spreadsheet/list on who is going, if they are riding the bus or driving and if they've paid.

Monday before the skating party call the bus garage and confirm the need for 1 bus.

Have a parent willing to check in the bus-riding participants and go with them on the bus.  This same
parent should also recheck the bus-riding participants for the trip home to make sure that no one is
left behind (take special note of any young riders traveling without parental supervision).  After drop
off when returning to the school, the bus coordinator needs to stay at the elementary school until
parents have picked up all students.

Be sure all checks and cash have been given to the Treasurer or President to be deposited into the
PTSO account.
