Tubing Coordinator Details                                                                                                 (updated 2/13/06) In October call the sales office at Greek Peak 849-6677 (or Pat Gregor 835-6111) and reserve the date and time for the Tubing Party.  We have been getting about 60 people signed up for the event.  Ask if we can have a table set up in the lodge to pass out tickets to the tubing participants rather than at the base of lift #3.  Be sure to check the prices to see if there is an increase over the prior year.  Note: children must be at least 42" tall and children can not ride on and adult lap on the tubes. In November, make the tubing flyer using the past year's flyer available on the website which can be updated (via the webmaster) with the correct date and time and given to the district office by the mid-November district bulletin deadline for the Dec./Jan. district bulletin (since the February bulletin will arrive in early February which is too late to be signing up for the event). As of Feb. 2006, we not longer provide bus transportation due to the low number or riders.   If a bus is used, these are the instructions:           In December, fill out an "Application to the office for special transportation" (copy in the Tubing Binder for guidance).           -----Form Information-----                   Today's Date:                   Date of Trip: Sat. February, (day), (year)                   Purpose of Trip: Tubing Party sponsored by PTSO                   List Specific destination, including address and zip code:   Greek Peak, 2000 Route 392, Virgil, NY                   Departure time from school: (1 hour before tubing party starts)                   Time of Leaving Destination to Return to School: (15 minutes after Tubing Party ends)                   Name of School Organization: PTSO                   Number of Students Going: (estimated number of students and adults)                   Signature: (your name)     Phone: (your phone)           -------------------------           Have bus riders board bus 1 hour prior to event and have bus pull out of parking lot 45 minutes before tubing starts.             Have bus riders board bus for return trip no later than 15 minutes after the tubing stops for return trip to school.           ~On the day of the event, have a parent willing to check in the bus-riding participants and go with them on the bus.             This  same parent should also recheck the bus-riding participants for the trip home to make sure that no one is left behind.           They need to stay at the elementary school until their parents have picked up all students. In January, make copies of the flyers and put in elementary school backpacks. Copies can be made at the elementary school office using the Rizo (high volume copier); ask the secretary how many are needed (and for help with coping if you are unfamiliar with the copier).  Copy flyers and paper clip into classroom batches for the secretary to put in teacher boxes.  Flyers should be ready for teacher boxes 2 weeks before the due date (or 3 weeks before the event).  Also, make copies for the middle school office and write an "Announcement" to be read for the first few days the forms are available and the last few days before the forms are due. Get a check from the Treasurer or President to pay Greek Peak. Check elementary and middle school mailboxes for returned reservation forms with payment. Make a list on who is going, and if they've paid. Monday before the tubing party call Greek Peak and give them the number of tickets to be pre-printed.  This number can be updated later in the week.   We get 2-4 complimentary tickets for tubing. This is deducted from our total amount owed to Greek Peak. The Tubing Coordinator or Asst. Coordinator can pick up the tickets at the Welcome Center. Afterwards, within a few day, be sure all checks and cash have been given to the Treasurer or President to be deposited into the PTSO account.
