PTSO Minutes, June 4, 2006 6 p.m., at Cathy Nelson's house (Approved 9/11/06)

Minutes from 5/9/06 were approved.

Treasurer Report by Cathy Nelson: Checking account $ 25,784.51, Savings account $ 3,240.41

Membership Report by Katrina Overton: 38 Lifetime, 60 5 year , 197 Annual, Total 295
Katrina spoke of upcoming summer and Fall events where member recruitment will take place.  
Elementary School new family orientation, Middle School and High School new family events,
Kindergarten orientation (set up table outside when kids go on bus, parents can view)

Correspondence – Cathy reviewed various thank you notes

President’s Report
~Cathy reported that she is working on dispersing special funding
~Enrichment funds – Elementary School used their $1,000, plus $225 for 4th grade Science pillow
project fabric and extra 4th Grade year books;  Middle School only used $550, plus $417 for visiting
authors and H&C aprons;  High School is holding their money for next year’s D-Day
~PTSO $500 scholarship – meeting this week to determine recipients

5/6 activity night June 9  - no report
7/8 activity night June 2 (Cathy Nelson reported) 107 kids at Rink
The concession stand was closed, which was unexpected.  Pizza and soda was purchased quickly;
students were not charged because there was no cash box available (PTSO paid expenses).
Meet the Candidates night (Cathy Nelson reported) Only 4 attendees, no moderator used (two
incumbants running unapposed)
Elementary School Book Fair (Terrisue Krogh reported) Lost money because of buy 1 get 1
Next year, may eliminate $10 to teachers at the buy 1 get 1 free

MS Book Fair may be incorporated spaghetti dinner next year.

Employee Appreciation Day
(Bobbi Wasenko reported) Very positive feedback.
New Banners were appreciated, as were lawn signs {cost = $465.62}
Something new – brought food to grounds and maintenance building

Illusions (Cathy Nelson reported)  Cinnamon Shop provided cupcakes and fancy cookies as well as
punch, it was quick since no cake cutting took place.  Cinnamon Shop gives discounted rate.

Academic Awards (Cathy Nelson reported) Cookies, punch and water
Next time, set up two stations to make the flow quicker.

Project Prom (Anne Drake reported)  210 kids;  only 5 who went to prom did not come to After Prom
Party; Anne Drake to send final budget to Cathy Nelson.
Winners of the Sponsor-A-Couple drawing were: Jan Bruno & Karen Tucker - $40 Moore Tree Farm;
Dianne & George Valesente - $100 cash (since the Mall would not donate as it has in past years) ;
Bill & Sandi Dhimitri - $100 Wegmans certificate.  Prom committee bought $1165 in Scrip as prizes.  
Donations were down from previous years and the PTSO contributed $1000 to make up the
difference.
Decision/Outcome: suggestion for next year:  add liability waiver to sign up form

Scrip Fundraiser Tricia Thomas to get a final accounting/budget to Cathy Nelson

Accounting (Cathy Nelson reported)  Cathy is meeting with accountant this week to review 501(c)(3)
and tax returns.

Clothing Sales (Kristen Burt)
Kristen reported on the plans for clothing sales in the Fall.  She is researching new designs and
wanted input on items to purchase.  She would like to order the clothing in advance and sell the items
at events throughout the year, instead of having people order on forms.  Last year a total of 200
items were ordered.  
Motion was made and approved for us to order 100 blue sweatshirts and 100 shortsleeve grey t.
shirts.
 Kristen will continue to look for a new design since the cat “slashing” design may not be
acceptable.  We have a supply of items left over from past years so we will offer more then just two
items.

PTSO to help with special needs – Cathy Nelson
Cathy reported that Deb Sweeny, ES Social Worker, would like to see if the PTSO would agree to be
contacted via email when there are special needs in regards to children. For example, a 12 year old
girl needs clothing.
Decision/Outcome: All agreed that it would be fine for the PTSO board to receive emails of this
nature.
